Vehicle Management

Vehicles are used for mileage allowance and the mileage log. The vehicle master data and assignments control which vehicles users can select in a trip type.

Vehicle master data

  • Type, make, model: designation of the vehicle.
  • License plate: identification of the vehicle.
  • Number of seats: available seats.
  • Fuel type: for classification of the vehicle.
  • Private car: distinguishes private from non-private vehicles and influences the mileage allowance logic.
  • Climate-friendly: additional classification for evaluations or business rules.
  • Client and Valid from / Valid to: organizational and temporal scope.

Assignments

  • Assign persons directly.
  • Assign the vehicle to a client or a group.
  • If needed for groups, enable inheritance to subgroups.
  • Use the option to assign the vehicle to all persons within the selected client only deliberately.

Notes

Vehicle type and private car must match the mileage allowance definition used. Changes to the license plate or assignments affect selection and evaluations. For a historical vehicle change, use a new validity period and then test a mileage and mileage log case.
